Notifying Employees When a Crisis Occurs

  October 31, 2008

Even the best security systems in the world can't prevent all incidents from happening. When an incident does occur, how do you notify employees? Industry surveys show that many companies still use manual call trees to alert employees.

Depending on the size of the company, a manual call tree may make sense. The other option is an emergency notification system. Did your company make a conscious decision to stick with a manual call tree because it is cost effective, or is the call tree being used because it has always been there and there hasn't been a need to use it lately?

If you have an emergency notification system, it is important to remember that such systems can't be left on a shelf to idle. Who decides when it is time to issue a notification? How much time should elapse before a decision has to be made? Waiting too long to issue a notification is a common problem. Finally, once the decision has been made, does staff know how to use the software well enough to get the message out in a timely manner? All those questions should be answered on a periodic basis to ensure the emergency notification system works as intended.
