The Facility Manager's Guide to AI-Powered Maintenance

Learn how QR codes provide the foundation to better asset data in this video from NFMT Baltimore

For facility professionals, especially those managing complex or multi-site portfolios, better data means better decisions. In this video from NFMT Baltimore, Nick Haase from MaintainX and Andi Seabeck from Camcode explain how QR codes are the starting point to better data.

Asset data gaps lead to delayed repairs, incorrect parts orders, missing maintenance histories, and duplicated work. Worse yet, it blocks organizations from unlocking the true potential of AI and automation in maintenance planning.

QR codes offer a simple but powerful solution. When affixed to physical assets and integrated with a Computerized Maintenance Management System (CMMS), QR codes create a “digital thread” that links every piece of equipment to its full history—work orders, manuals, repair notes, parts usage, and more.

For AI to be effective, it needs reliable, structured data. QR codes simplify and standardize asset identification, which improves the accuracy of data collection across sites. With this foundational layer in place, organizations can begin to layer on AI tools that support tasks like predictive maintenance, work prioritization and anomaly detection.

One benefit of this digital-first approach is that it meets technicians where they are — on the floor, in the field, on mobile devices. QR code-enabled workflows eliminate the guesswork and reduce the time needed to identify assets and look up instructions. Voice transcription and AI-powered translations help multilingual teams communicate more clearly, and technicians can input work notes by speaking rather than typing.

For facilities with multiple sites, standardized digital procedures ensure consistency across locations. QR codes link assets to the correct standard operating procedures (SOPs), and built-in logic allows workflows to adapt to specific environments — like FDA-regulated rooms or outdoor installations.
