Managers never know when the next cooling crisis will strike their facility, but advance planning should always be part of the equation so occupants and facilities are prepared when the moment arrives.

One step to faster service is keeping a list of qualified portable cooling providers handy at all times.

"It’s not something you think about all the time when you don’t need (cooling), and something happens and you don’t know who to call," Brainard says. "Look for a reputable company and ask them how long they’ve been in business, do they have a full service department available 24/7, do they deliver, and what services can they provide? Those are the things that matter when you need to react quickly."

In addition to renting portable cooling units as needed, some facilities opt to purchase some units to have some on hand, then choose to rent more if necessary. If managers choose that route, they should plan their purchases early in the calendar year to avoid a lack of inventory when demand is high.

"Start planning in January," Keller says. "Most are planning then so they have an opportunity to get inventory in place and that’s when you can get your best deals on equipment."
