Software Locks Up $225,000 in Savings for Corrections System

   Before implementing MicroMain Facilligence, Miami-Date County, Fla. Corrections and Rehabilitation used an obsolete version of Microsoft Access to track maintenance activities. Due to the generation of a large number of service tickets, the system crashed frequently at all six department locations.
   After comparing 12 computerized maintenance management systems (CMMS), the county chose Facilligence, a web-based CMMS specifically designed for organizations with multiple maintenance offices.
   "With MicroMain Facilligence, the overall cost of software maintenance and updates was a far better expense than the cost of competitors," says John Menendez, facility maintenance administrator for Miami-Dade County Corrections and Rehabilitation. "A lot of customization work could be done in house, saving us the time and expense of having to go to a programmer.".
   Miami-Dade County estimates it saves $225,000 annually, as a result of the CMMS due to the decrease in staff needed to process service tickets. In the past, staff members spent four hours per day updating service tickets for tracking purposes. With Facilligence, the tracking occurs automatically, and reports that previously took a month to generate are available daily.
   To generate a service ticket using the old system, an officer had to write a request that would pass through multiple people and take up to six days to process. Under the new system, it now takes less than a minute to receive and issue the service ticket. This change is especially helpful in emergency situations when security is at risk.
   "The software is pretty much working on its own, and we really like what it's doing for us," Menendez says. "I trained all of the officers, janitors and directors from the six facilities to use Facilligence to create service requests, and it is absolutely incredible. People are actually using the system because it is easy to use."
